SimplyScapes (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and protect your information when you use our website and services.
By using SimplyScapes, you agree to the terms of this policy.
Overview
SimplyScapes is a web-based landscape design platform that offers tools for homeowners, professionals, retailers, and municipalities. Users may create and manage workspaces, generate design content, and access plant libraries and other digital assets through tiered service levels.
1. Information We Collect
We collect information in the following ways:
A. Information You Provide Directly
- Name, email address, phone number, mailing address
- Business information (via Google Places for Pros)
- Photos or geolocation of your property
- Payment details (managed by Stripe)
- Uploaded images, designs, notes, and other content
- Survey responses or feedback
B. Information We Collect Automatically
- Browser type, device information, operating system
- IP address, approximate geolocation
- Referring URLs and interactions with the platform
- Cookies, beacons, and session data
When you visit our websites before creating an account, we also automatically collect marketing attribution data: your referral source, UTM and advertising click identifiers, the pages you viewed and time spent on our sites before signup, device and browser characteristics, and your approximate location derived from your IP address. This information is stored with your account and used for marketing analytics. We also keep a per-device sign-in history for your account (device, browser, and approximate location).
C. Information from Third Parties
- Business listings and metadata (via Google Places API)
- Marketing and analytics data (via platforms like Google, Facebook, and Brevo)
2. How We Use Your Information
We use your information to:
- Provide and improve our design and visualization tools
- Personalize your experience based on location, property type, or user type
- Enable subscriptions, purchases, or licensing agreements
- Communicate with you (e.g., support, updates, marketing — if opted in)
- Comply with legal requirements and protect platform integrity
- Train AI models and perform usage analytics (data is anonymized)
3. Sharing & Disclosure
We may share your information with:
- Service providers (e.g., Stripe, Google, Brevo, hosting providers)
- Third-party licensors (e.g., plant brands and nurseries for analytics or reporting)
- White-label partners (e.g., HOAs or Water Districts under specific agreements)
- Legal authorities when required by law
If you use a white-label (partner-branded) deployment of SimplyScapes, the information you submit there — including your name, email address, ZIP code, and project details — may be shared with the hosting partner where you consent to that sharing, and partners may operate their own analytics on their branded experience. Plant-content licensors may receive aggregated usage analytics.
Professional users may store their own clients’ contact details in the platform. For that information, the professional is the data controller and SimplyScapes processes it on their behalf to provide the service.
Designs you share via “Copy public link” are viewable by anyone with the link, and uploaded images are served from content-delivery URLs that are accessible to anyone who has the exact address.
We do not sell your personal data.
4. Your Rights & Choices
You have the right to:
- Access or correct your personal information
- Unsubscribe from marketing emails at any time (via the unsubscribe link)
- Delete your account via your workspace settings
- Control cookie preferences via the cookie banner and the “Manage Cookies” link in this site’s footer, the in-app consent banner (for EU users), and your browser settings
Deleting your account removes your account record, profile, sign-in identity, and marketing contact. Billing records are retained by our payment processor as required for legal and tax purposes; uploaded images may persist in storage and content-delivery caches for a period after deletion; and some records are deactivated rather than erased to preserve system integrity. You can request full erasure by contacting us.
Note: SimplyScapes does not currently offer a self-service downloadable data export feature. If you would like a copy of your personal data, contact us and we will provide it by email.
5. Data Retention
We retain your personal information and content for as long as your account is active and until you request deletion. We do not apply fixed retention periods, except where retention is required by law (for example, billing and tax records).
Support conversations are an exception. Whether or not you are signed in, the conversation record in our support system — the message history and the technical details recorded with it, such as the IP address and approximate location the conversation came from (see sections 1 and 9) — is deleted automatically 30 days after its last message. An ongoing conversation stays available while you are using it: the 30 days runs from the last message, not from when the conversation started.
Two related copies are kept longer, and we would rather say so than imply the 30 days covers everything:
- The copy shared with our support team in Slack, so a person can review and follow up, is kept under our Slack workspace’s retention settings
- Where Milo could not answer a question, we keep a short excerpt of that question for up to 90 days so we can improve our help content
Support tickets and the emails you send us are handled separately and are retained until deletion is requested. A deletion request covers all of the copies described above — see section 4.
6. Data Security
We use industry-standard measures to protect your data, including:
- Encrypted transmission (HTTPS)
- Role-based access controls
However, no system can be 100% secure. You use SimplyScapes at your own risk.
7. Cookies & Tracking Technologies
We use cookies and similar technologies as follows:
- Essential cookies that enable core functionality: your sign-in session, your workspace preference, and security
- Analytics and advertising cookies on this site and in the app (Google Analytics; Meta Pixel; LinkedIn Insight Tag), set only with your consent where required. On this site, a cookie banner is shown to visitors outside the United States; United States visitors can adjust their preferences at any time via the “Manage Cookies” link in the footer.
- First-party marketing-attribution cookies on simplyscapes.com sites (subject to the same marketing-cookie preference): _ss_attr (referral and campaign data, pages viewed, device information, and approximate location; retained up to 30 days), ss_identified, and is_dashboard_user
- Our marketing and help sites use cookieless page analytics (Vercel Analytics)
- The support chat keeps a conversation identifier in your browser’s session storage
You can manage cookies via this site’s cookie banner and the “Manage Cookies” footer link, the in-app consent banner (shown to EU visitors), and through your browser settings.
8. Third-Party Services
SimplyScapes relies on third-party platforms for functionality and data storage. These include:
- Stripe for payments
- Google for sign-in, maps and the Places API, and in-app analytics and advertising measurement
- Meta for in-app advertising measurement
- Brevo for transactional, support, and marketing email
- Slack, where our support team reviews support conversations and tickets
- Google (Gemini) for AI image generation in the Visual Designer, accessed directly
- Third-party artificial intelligence providers for our other AI features, including our support assistant, accessed through the Vercel AI Gateway. These currently include Google (Gemini), OpenAI (ChatGPT), and Anthropic (Claude), and may change as we add or replace providers.
- Vercel for hosting, analytics, and AI request routing
- Amazon Web Services for image storage and content delivery
- Upstash for support-conversation storage
- Hasura as our database platform
- IP-geolocation services used to approximate your location for design setup
- A plant-hardiness-zone lookup service that receives your ZIP code
- Google Fonts, from which font files may be fetched when exporting PDFs
We are not responsible for the data practices of these platforms. You are encouraged to review their privacy policies.
9. AI Support Assistant
Our support chat is powered by Milo, an AI assistant. When you chat with Milo:
- Your conversation is processed by third-party artificial intelligence service providers to generate answers to your questions; the specific providers and models may change as we improve the service
- Support tickets and related emails are processed and delivered via Brevo
- Support conversations and tickets are shared with our support team via Slack so a human can review and follow up; deletion requests cover these copies as well
- We record the page you started the chat from, your IP address, and the approximate location (city/region) our network derives from it, so our support team can understand and follow up on your question. These details are shown to our support team alongside the conversation
- Conversations are retained to provide and improve support. The conversation record is deleted automatically 30 days after the last message; the Slack copy and any excerpt of an unanswered question are kept longer, as described in section 5. You may request deletion at any time using the contact information in this policy
- To protect the service from automated abuse, chat messages pass through automated checks (including bot detection and rate limiting) before they are answered. These checks may limit or decline a request; you can always reach a person using the “Talk to us” options in the chat
- Beyond support chat, the Visual Designer’s AI features (image generation and editing) send your uploaded property photos, design imagery, and text prompts to third-party artificial intelligence service providers for processing, and your AI generation history is stored with your design
Please do not submit passwords, payment card numbers, or other sensitive credentials in chat.
10. Children’s Privacy
SimplyScapes is not intended for children under 13. We do not knowingly collect personal information from minors. If we discover such data, it will be deleted promptly.
11. International Users
If you are accessing SimplyScapes from outside the United States, please be aware that your data may be stored and processed in the U.S. By using our platform, you consent to this transfer.
We comply with GDPR principles, including:
- Data minimization
- Purpose limitation
- Secure processing
- Honoring requests for access and deletion
12. Your California Privacy Rights
If you are a California resident, you may request:
- A list of categories of personal data collected
- A description of the data’s use
- A copy of your personal data
- That we delete your personal data

13. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification.
